Proper message format for the Online Exchange
The Online Exchange List Software is configured to decline any messages that it receives that are not in Plain Text format. This makes sure that all list members will be able to read the messages that are sent to the list, and also acts as a protection from messages containing viruses like the Happy99 and VBS/Kak worms from passing through the list. A lot of e-mail programs come configured to send messages using HTML format, so it is necessary to change the settings to send only plain text.

There are different ways to approach this to give you some flexability in your E-mail options.
 

Message Sending Options

In Outlook, Outlook Express and Netscape Navigator, it is possible to send both plain text messages or HTML or Rich Text Messages. It is important that your messages to the list go in plain text format. Here you will find instructions for changing the E-mail client settings so that all of your messages are sent as plain text only.

Outlook and Outlook Express Address Book Options

In Outlook and Outlook Express's Address Book, it is also possible to set the option to send messages in plain text only to specific addresses. This way, if you use your address book to start new messages, you will be able to use different formats for different addresses.

Select Tools from the menu bar.

From the drop down menu select Options

The Options Dialog will open. Select the Send tab

Towards the bottom is a section Mail Sending Format. Click on Plain Text until there is a black dot in the white circle next to it.

Click Apply, then click OK

Netscape

Select Edit from the menu bar, and then select Prefernces from the drop down menu

In the catagory section on the left, select Mail and Newsgroups and click on the + next to it to expand the catagory.

In the top section Message formatting Click on Use the plain text editor to compose messages button until there is a black dot inside the white circle.

Click OK

Outlook and Outlook Express Address Book Settings

Open Address Book and select the Online Exchange Address Listing (Fig. 1) This example is blured to obscure e-mail addresses.

Select Properties

Click on the Name tab

In the lower left corner click on the check box by "Send E-Mail using plain text only." until there is a check mark in it.

Click on OK.
